How to Set Up QuickSwitch in ClickUp

Table of Contents

You open ClickUp. You need to jump between three different Spaces, check a task in a separate Workspace, and pull up a Doc — all before your next meeting. So you start clicking. Sidebar. Back. Sidebar again. Wrong list. Start over.

Sound familiar?

Most people treat ClickUp navigation as a necessary friction. Click around long enough and you’ll eventually get where you’re going. But there’s a faster way — and it’s already built into ClickUp. It’s called QuickSwitch, and once you set it up, you’ll wonder how you ever worked without it.

This guide walks you through exactly what QuickSwitch is, how to set it up, and how to use it to move through ClickUp at the speed your brain actually works.

What Is QuickSwitch in ClickUp?

QuickSwitch is ClickUp’s built-in keyboard-powered navigation feature that lets you instantly jump to any Workspace, Space, Folder, List, Doc, or Task — without touching your mouse.

Think of it as a search-and-teleport system for your entire ClickUp setup. You press a shortcut, type a few characters, and you’re exactly where you need to be in under two seconds.

It’s closely related to ClickUp’s Command Center (also triggered via keyboard shortcut), and the two work together to give you full keyboard-first navigation across everything in your account.

This matters more than most people realise. Research from the University of California, Irvine found that it takes an average of 23 minutes and 15 seconds to fully regain focus after an interruption. Every time you stop to dig through your sidebar, you’re not just losing clicks — you’re losing cognitive momentum.

Why QuickSwitch Is Worth Setting Up Today

Before getting into the steps, it helps to understand what’s at stake.

Context switching is one of the biggest productivity killers in modern work. Studies show that workers switch tasks every 40 seconds when working on a computer. That constant micro-interruption adds up: teams lose up to 40% of their productive capacity to task-switching overhead.

Here’s what the research says:

  • 80% of knowledge workers say they don’t have enough time to get everything done (Asana, State of Work)
  • The average professional spends 60% of their workday on “work about work” — status updates, app navigation, searching for information (Asana)
  • 57% of teams report that switching between tools and navigating complex software is one of their top daily frustrations
  • ClickUp’s own data shows that teams using keyboard shortcuts and quick navigation features save an average of one full day per week

QuickSwitch addresses the navigation layer directly. Once set up, switching between Workspaces or jumping into a specific List goes from a 10-click process to a 2-second keyboard move.

How to Access QuickSwitch in ClickUp

There are two ways to trigger QuickSwitch, depending on what you’re trying to do.

For navigating within your current Workspace (Command Center):

  • Windows/Linux: Ctrl + K
  • Mac: Cmd + K

This opens the Command Center overlay — a floating search bar that lets you jump to any Space, Folder, List, Doc, Task, or even specific ClickUp settings without leaving your current view.

For switching between multiple Workspaces:

If your account has more than one Workspace (common for agencies, freelancers, or teams managing multiple clients), you can switch between them directly from the bottom-left corner of ClickUp:

  • Click your Workspace avatar in the lower-left corner
  • A dropdown shows all Workspaces linked to your account
  • Click any Workspace to switch instantly

You can also assign a direct keyboard shortcut to workspace switching — covered in the setup steps below.

How to Set Up QuickSwitch in ClickUp — Step by Step

Enable Keyboard Shortcuts

ClickUp’s keyboard shortcuts are enabled by default, but it’s worth confirming this is active on your account:

Step 1: Click your avatar or profile icon in the bottom-left corner of ClickUp.

Step 2: Go to Settings.

Step 3: Navigate to My SettingsKeyboard Shortcuts.

Step 4: Toggle Enable Keyboard Shortcuts to ON if it isn’t already.

Once enabled, Ctrl+K (or Cmd+K on Mac) will immediately open the Command Center from anywhere in ClickUp.

Set Up the Command Center (Your Main QuickSwitch Tool)

With keyboard shortcuts enabled, press Ctrl+K / Cmd+K right now. You’ll see a search overlay appear.

Here’s what you can do from this one screen:

  • Type any Space, Folder, or List name and press Enter to navigate directly
  • Type a task name to jump straight to that task
  • Use the / command prefix to trigger ClickUp actions (create tasks, set priorities, change statuses)
  • Type doc: followed by a keyword to find any ClickUp Doc instantly

The Command Center indexes everything in your Workspace — so the moment you type a few letters, ClickUp surfaces the most relevant matches.

Pro tip: You don’t need to type full names. If your List is called “Q3 Campaign Planning,” typing “q3 camp” will pull it up. ClickUp uses fuzzy matching, so approximate input works well.

Configure Quick Workspace Switching

If you manage work across multiple ClickUp Workspaces, set up the quick-switch flow so you’re never hunting for the right account:

Step 1: Click the Workspace name or avatar in the bottom-left corner.

Step 2: In the dropdown, you’ll see all linked Workspaces. Hover over any Workspace to see its shortcut number.

Step 3: You can jump between Workspaces using the number shortcuts displayed — ClickUp assigns these automatically based on the order Workspaces appear in your list.

Step 4: To reorder Workspaces (and therefore change their shortcut numbers), drag them within the dropdown.

For teams that manage 3+ Workspaces daily, reordering so your most-used Workspace is position #1 can shave minutes off your navigation time every day — small individually, significant at scale.

Pin Your Most-Used Spaces to the Sidebar

QuickSwitch works best when paired with a clean, intentional sidebar structure. Here’s how to pin what matters:

Step 1: In the left sidebar, right-click any Space, Folder, or List.

Step 2: Select Pin to Sidebar (or use the star icon to mark as a Favourite).

Step 3: Your pinned items appear at the top of the sidebar under Favourites, making them 1-click accessible at all times.

Combine pinned Favourites with the Command Center and you have a two-tier navigation system: muscle memory for your top 5 locations, and keyboard search for everything else.

Use ClickUp’s “Me Mode” for Focused Navigation

One underused QuickSwitch companion is Me Mode — a filter toggle that strips your views down to only tasks assigned to you.

To enable it:

Step 1: Click the Me Mode toggle at the top of any List or Board view (the silhouette icon next to the filter options).

Step 2: ClickUp will filter the entire view to show only your assigned tasks.

Step 3: Use Ctrl+K to navigate between views while staying in Me Mode — your filter persists as you switch.

This is particularly useful when you’re doing focused work and don’t need to see the whole team’s board. Navigate fast, stay focused.

How to Use QuickSwitch Like a Power User

Setting it up is step one. Getting fast with it is where the real time savings happen.

Build a keyboard-first habit. The first week, you’ll still instinctively reach for the mouse. Resist. Every time you catch yourself about to click through the sidebar, press Ctrl+K instead. It takes about 5–7 days of deliberate practice before it becomes automatic.

Use the Command Center for actions, not just navigation. Most people use it as a search bar. But you can also type /create task, /set due date, or /assign to trigger ClickUp actions directly from the overlay. This turns the Command Center into a lightweight command-line interface for your project management.

Name your Spaces and Lists for searchability. QuickSwitch is only as fast as your naming is clear. If your Lists are named “Client Work,” “Client Work v2,” and “Client Work Final,” the Command Center won’t help you find the right one quickly. Use specific, distinct names: “Acme Corp – Active,” “Acme Corp – Archive.”

Combine QuickSwitch with Saved Views. ClickUp lets you save custom views (filters, groupings, sort orders) and name them. These saved views appear in Command Center search results — so you can jump directly to “My High-Priority Tasks This Week” with a keyboard shortcut.

Know the secondary shortcuts. A few worth memorising:

Shortcut

Ctrl+K / Cmd+K

Open Command Center

Ctrl+/ / Cmd+/

View all keyboard shortcuts

Ctrl+E / Cmd+E

Multi-task toolbar (select multiple tasks)

Ctrl+Shift+F / Cmd+Shift+F

Common Mistakes That Slow People Down

Relying only on the sidebar. The sidebar is great for orientation. It’s slow for navigation. If you find yourself scrolling through nested Folders to find something, that’s a signal to use the Command Center instead.

Not naming things specifically. Vague naming makes QuickSwitch less effective. Generic names like “Tasks” or “Projects” will return too many results and force you to scan. Specific names mean you’re one search away from the right place.

Ignoring the Favourites bar. Pinning your top Spaces and Lists creates a persistent navigation shortcut that works even when you’re not in keyboard-first mode. Most users set this up once and it pays off indefinitely.

Switching Workspaces when you don’t need to. Some teams create unnecessary Workspaces for things that could live as separate Spaces within one Workspace. Every cross-Workspace switch costs more friction than an in-Workspace navigation. Before creating a new Workspace, ask whether a dedicated Space would accomplish the same thing.

Not using Me Mode during deep work sessions. If you’re navigating through views during focused work, Me Mode removes the visual noise of 10 other people’s tasks. Pair it with QuickSwitch and your navigation becomes both fast and focused.

FAQs

Does QuickSwitch work across all ClickUp plans?

Yes. The Command Center (Ctrl+K / Cmd+K) and keyboard navigation shortcuts are available on all ClickUp plans, including the Free Forever plan. There are no feature restrictions on basic QuickSwitch navigation. More advanced search filters and saved view features may vary by plan, but the core keyboard-first navigation is universally available.

Can I customise the keyboard shortcuts in ClickUp?

ClickUp does not currently allow full remapping of keyboard shortcuts within the app itself. The default shortcuts (Ctrl+K for Command Center, etc.) are fixed. However, you can use system-level tools like AutoHotkey (Windows) or Karabiner-Elements (Mac) to remap keys before they reach ClickUp if you want a different trigger.

What's the difference between QuickSwitch and the ClickUp Command Center?

They're closely related and often used interchangeably. "QuickSwitch" typically refers to the workspace-level switching capability (jumping between separate ClickUp Workspaces), while the "Command Center" is the Ctrl+K overlay used for navigating within a Workspace. In practice, the Command Center handles most daily navigation needs.

How is QuickSwitch different from ClickUp's global search?

Global search (Ctrl+Shift+F) is designed for finding specific content — tasks by name, Docs by keyword, comments, or attachments. The Command Center / QuickSwitch is optimised for navigation — getting to a destination quickly rather than searching for specific content within it. Use Command Center to go places; use Global Search to find things.
